Invoice Merge Codes

 

 

{INVOICE_NUMBER}

This merge code inserts the number of the invoice.
 

Example
Please find attached invoice number {INVOICE_NUMBER}
Please find attached invoice number 1234

 

 

{INVOICE_TOTAL}

This merge code inserts the amount of any single quote or invoice you have just sent to the client. This code inserts the gross amount ignoring any part payments.
 

Example
The amount of your most recent invoice is £{INVOICE_TOTAL}
The amount of your most recent invoice is £100.00

 

 

{INVOICE_OUTSTANDING}

Inserts the total amount of goods and services showing on any invoice less any payments that have been applied.
 

Example
Regarding the attached invoice the amount outstanding is £{INVOICE_OUTSTANDING}
Regarding the attached invoice the amount outstanding is £80.00

 

 

{INVOICE_FIRST_SENT}

Inserts the date the invoice was first sent, which has two meanings. It is both the date first sent and the invoice date. It can be useful in credit control letters to confirm when you last sent an invoice.
 

Example
Your invoice was first sent to you on {INVOICE_FIRST_SENT}
Your invoice was first sent to you on 01/09/2013

 

 

{INVOICE_LAST_SENT}

Inserts the date the invoice was last sent to a client. It can be useful in credit control letters to confirm when you last sent an invoice.

Your invoice was recently sent to you on {INVOICE_LAST_SENT}
Your invoice was recently sent to you on 10/09/2013

 

 

{INVOICE_SERVICE_START}

Inserts the date of the first service on any given invoice. It can be useful in correspondence when confirming start and end dates of bookings.
 

Example
We are writing to confirm that your next service is due to start on {INVOICE_SERVICE_START}
We are writing to confirm that your next service is due to start on 01/09/2013

 

 

{INVOICE_SERVICE_END}

Inserts the date of the last service on any given invoice. It can be useful in correspondence when confirming start and end dates of bookings.

We are writing to confirm that your next service is due to end on 01/09/2013

 

 

Receipt Merge Codes

 

 

{PAYMENT_RECEIVED}

This code will insert the amount of the receipt currently being posted.
 

Example
Thank you for your recent payment of £{PAYMENT_RECEIVED}.
Thank you for your recent payment of £125.60.

 

 

Client Merge Codes

 

 

{CLIENT_OUTSTANDING}

This code will insert the total amount of all outstanding invoices for any client. In this case the value is the total amount outstanding for all invoices less any payments received that have been allocated to invoices. Be sure to add your currency symbol in front of the code.
 

Example
Please be advised that your current outstanding balance is £{CLIENT_OUTSTANDING}
Please be advised that your current outstanding balance is £20.00

 

 

{CLIENT_ACCOUNT_NUMBER}

Each client in Pet Sitter Plus has been given a unique 10 digit account number by the system. Clients who want to gain access to their online account (for example to pay a bill using PayPal) will need to use their account number as part of their login credentials. To insert the client account number into an email template, simply copy and paste the above merge code into a template in the position you would like the account number to appear.

{CLIENT_PORTAL_URL}

Inserts the web link (URL) for the client portal for your business. Your clients can use this link and their unique client ID (See above) and password to log on to view their account details, pay your invoices etc.

{CLIENT_FORENAME}

Inserts the client forename.

{CLIENT_REFERENCE}

Inserts the client diary ref. There is a field which you can find on the client record called the Diary Ref. The diary ref typically holds the pet(s) names. The above merge code will inserts the contents of the diary ref field into any email template.

Inserts any client credit balance into correspondence.

Inserts any client debit balance into correspondence.

Inserts the company phone number into correspondence. This field can be found in ADMIN > SETTINGS > Company Information.

Job Request Merge Codes

 

 

{JOB_REQUESTS_TABLE}

Inserts a table of selected job requests selected from the client portal and sent to admin including the primary sitter's name.
 

This code is included in the email templates for use with the Job Request processing workflow. It is incorporated in the emails to confirm dates and services to the client throughout the workflow in case any changes need to be made, and also to ask the sitter's availability to perform the services.

This code is included in the email templates for use with the Job Request processing workflow. Inserts a table of scheduled jobs ordered by date and time.
 

This code is included in the email templates for emailing clients and/or sitters from the Schedule. It can be used to email in bulk to confirm the start of a service. For example, selecting "First Service Only" in the Diary/Schedule means that you can check you have up to date information on a selection of services due to start on a given day.

Please find below a list of your scheduled services due to start soon. If you need to make any last minute changes, we require 72 hours notice of cancellation. Before you leave please make sure your pet record is up to date.
