Navigate to ADMIN > SETTINGS > Company Information

 

This feature makes it possible to setup different “reply to” emails for different staff members. 

 

It is designed for businesses that operate departments run by different staff members.

 

Example - if your business has a billing department that is run independent of your scheduling department using different staff, or if your business has a walking department that is run independent of your boarding department using different staff, separate "reply-to" email addresses can be configured for different staff members.

 

With the "use User's Email Address" box checked, replies to emails will come back to the specific staff member who sent the email (as opposed to coming back to the company reply-to email address).

Setting up this function

  • Each staff member who is going to be an administrator MUST have administrator login rights AND staff login rights.

    • Go to ADMIN > USERS and use the ADD COMPANY ADMINISTRATOR function to create administrator credentials for each required staff member.

    • Go to ADMIN > USERS and use the ADD STAFF LOGIN function to create a staff login for each required staff member using the same email and password as you did when creating the company administator login.

 

  • Each staff member who is going to be an administrator MUST have an email address associated with their staff record.

    • To add an email addresss to a staff record, click ADMIN > STAFF, then choose a staff member, then add an email address. This can be the same as the email the staff member uses to login with or it could be different.

 

  • Go to ADMIN > SETTINGS > Company Information and check the box "Use Users Email Address"

In this example we have created two users, Richard Booty and Jackie Booty - both have administrator login rights AND staff login user rights (see below)

 

Richard Booty logs in with email address test@test.com

 

Jackie Booty logs in with testone@test.com

  • Each staff member who is going to be an administrator MUST have an email address associated with their staff record.

    • To add an email addresss to a staff record, click ADMIN > STAFF, then choose a staff member, then add an email address.

    • This email address can be used to populate the email signoff and can be the same as the email address used to sign in with or different (as required).

  • Finally, make sure that in ADMIN > SETTINGS > Company Information that "User User's Email Address" is checked.

Now that the system is setup - what does it do?

 

Example 1 - Email sent from Richard Booty

 

  • I am a client of a Pet SItting business called Dog Days and I receive an email from Richard Booty (who works for Dog Days in department A). The email I receive is CC'd to test@test.com and if I click "reply", my reply will be sent to test@test.com.

  • Note in this example the email address associated with Richard Booty's staff record (richardbooty4:gmail.com) is different to the email used to login (test@test.com), so in this example,

    • the reply-to email goes to "test@test.com" but

    • the email addess that populates the email signoff is richardbooty4@gmail.com

 

Now that the system is setup - what does it do?

  • If a client replies to the above email, the reply in this example goes to the same email address used to login with - test@test.com.
